GENERAL CLERK/RECEPTIONIST

Responsible to : Accountant

Responsibilities

Reception Duties Telephone & 3 incoming lines

Dealing with Visitors Faxes (incoming and outgoing)

Open mail and distribute to departments

Outgoing mail and parcels with courier

Accounting Check purchase invoices against Standard Costs Add any carriage items not included on Purchase Orders

File all Goods received notes on a daily basis Match, check and code purchase invoices on a daily basis

Post invoices onto Datafile (accounts system(

Check statements received from suppliers

Sort queries on invoices with other members of staff Monthly payment runs on Datafile

Maintain and update spreadsheets analysing purchasing data In the absence of Sales ledger clerk

Monthly EC Sales list Quarterly Intrastat returns

Filing as required

Register Orders received and raise contract files

Enter Order and customer header data onto Alliance and issue files to Sales Print Order Acknowledgements daily

General typing and office duties as required

Sales letters and distribution of brochures

Purchase and control of stationery and stock for coffee machine

Booking travel and accommodation

Enter hours from Time Sheets onto Spreadsheet daily

Holiday and sickness records

Catering/Visitors buffets etc

Contract File Control and filing (In the absence of Sales ledger clerk)

Qualifications Required: Accounts experience preferred, must have a good telephone manner, pleasant appearance, Use of Miscrosoft Excel and Word essential. Driver - Preferred but not essential Hours 8:00 to 16:45 Monday to Thursday & 45 minutes for lunch 8:00 to 14:45 Friday & 45 minutes for lunch Holidays 25 days per annum plus bank holidays
