Receptionist and Administrator

Responsible To:      Chief Executive

Hours of Work:      Part Time (30 hrs) to cover Maternity Leave

Main Duties and Responsibilities

v     General administrative duties, such as filing, photocopying, answering telephone enquiries etc.

v     To be responsible for the smooth running of the office on a day to day basis

v     To ensure that all incoming and outgoing mail is distributed accordingly

v     Handling and dealing with Petty Cash and completing a monthly return

v     Attendance of the Small Grants Fund Group meetings acting as Administrator for sending out application forms, keeping an up to date database of previous grants to clubs/groups, correspondence, and convening meeting dates

v     Assisting the Finance Officer with writing monthly cheques, adding up Shop Weekly Takings sheets

v     Responsibility for archiving of Age Concern history information, photographs, press cuttings etc.

v     Responsibility for volunteer tracking, including distribution of volunteer packs and any correspondence required

v     To type up relevant papers for the Board of Trustees Board Meetings & Management Meetings, distribution of papers and minutes

v     Responsible for the advertisement and co-ordination of recruitment

v     Responsibility for stationery ordering and printing requirements

v     To give Administrative support to the Chief Executive

v     To keep pigeon holes clear, replenish weekly sheets for all shops on a two/three weekly basis.

v     To attend any relevant training as required

v     To undertake any other reasonable duty as directed

Qualifications/Experience Required

 v     To be able to type to RSA II standard, have knowledge/experience of Word, Excel, Microsoft Outlook and World Wide Web.

v     To have a confident telephone manner and to be able to take accurate telephone messages.

v     To have a good all round knowledge of Office Administration.
